Fundamental is seeking an assistant to serve as an integral member of the Operations team supporting the Grants Manager and the Program team at large. This role is responsible for supporting all aspects of grants processing across multiple client accounts. The Operations division of the firm serves as a connector across the firm’s many activities and engagements to ensure cohesive, collaborative, and aligned operational services and initiatives.
Responsibilities
Grants Processing
Accurately processing grants through their lifecycle, drafting award letters and grant agreements, submitting payment requests to the finance team, sending payment letters, collecting tax receipts from grantees, etc.
Tracking multi-year payment schedules and grantmaking budgets.
Communicating externally with grantees and internally with Program, Comms, Finance, and Legal teams.
Keeping the Grants Management Manual up to date, including developing standardized templates for grant recommendation memos, award letters, grant agreements, etc.
Salesforce/Data Management
Updating Salesforce with new grantee information to allow for more accurate and efficient reporting.
Records Management
Completing accurately all digital and physical grant files according to legal, auditing and foundation requirements.
Collecting and filing Conflict of Interest forms, non-disclosure agreements, participant releases, and other forms from relevant parties.
Maintaining and updating records of clients’ board affiliations and related paperwork.
Compliance Monitoring
Ensuring compliance with IRS regulations and foundation requirements for all grants.
Supporting the Grants Manager with annual foundation audits and tax filings.
Reporting
Preparing reports on grantmaking activities, history, and trends, as needed and requested by the Program team, clients, and the senior staff.
Other duties as assigned.
Qualifications
Experience and Desired Skills:
0-2 years’ experience working in a fast-paced office environment; prior history working with foundations, non-profit organizations, political campaigns or social change organizations a plus.
A bachelor’s degree in business administration, accounting, or a related field of study a plus.
Proficiency and comfort with database systems, inputting data and navigating systems effectively; Salesforce knowledge a plus.
Basic understanding of IRS and foundation-specific regulations a plus.
Excellent coordination and organization skills. Exceptional attention to detail and demonstrated ability to prioritize numerous tasks efficiently and effectively.
Good interpersonal communication (verbal and written). Natural ability to communicate openly to collaborate effectively.
Proven ability to deliver results and meet deadlines as part of a fast-paced office environment.
Proficient with Microsoft 365 applications (Outlook, Word, Excel, OneNote), Dropbox, Slack, Adobe Acrobat, Zoom, Miro, and Salesforce; comfortable working on a Mac.

Salary & Benefits
Fundamental is currently working via a hybrid model (three days in office, two remote), and we have a preference to have a candidate who lives in the Los Angeles area where our office is based.
Salary is commensurate with experience. The salary range for this position is $50,000-$60,000. This is a full-time, non-exempt position. A generous compensation package includes medical, dental and vision plans, a 401k plan, paid vacation, sick days and more.
